Specify and Design the Change, Process Manager

Description

Specifications for the business change may involve updates to the Organisational Blueprint and identification of individual change specifications for each element of the change (structure, people, process, systems and facilities, measurements and rewards, and plans).  Each component of the change may follow specialist life cycles.  The discussion below is for the process component.

The following steps may be used to specify and design the process:

  • Identify the key roles using the process
  • Brainstorm the activities that describe the work critical to achieve the process requirements
  • Rationalise into a set of related activities
  • Define each of the activities
  • Identify the Audit Criteria for each of the activities
  • Prepare a responsibility chart for the process
  • Define each of the Roles (some may require complete role descriptions)
  • Prepare a description of the measurements for the process
  • Identify the implementation parameters for the process:

The implementation parameters for the process are the following:

  • How many people will use the process?
  • What projects will pilot the process?
  • Which project will become the example project?
  • What reference materials need to be developed to support the process?
  • What tests will be performed to confirm that the process is working?
  • What metrics and measurements will be collected and analysed for the process?
  • Who will provide coaching and training for the process?

The implementation parameters can be used to develop the plan for developing and piloting the process.  (See the project management process).

Audit Criteria

  • A draft of the process document has been completed according to the template.
  • The draft of the process has been reviewed for consistency against relevant standards.
  • All supporting items necessary to be developed are planned
